Mountain Administrative Assistant

We’re looking for a Mountain Administrative Assistant to join our Mountain Operations team in Girdwood, Alaska. 

 

What You’ll Do 

As the Mountain Administrative Assistant, you’ll provide essential administrative and organizational support to the Mountain General Manager and Mountain Operations leadership team. You’ll help coordinate everything from meetings and purchasing to projects and resort events, serving as an important connection point across our mountain operations. 

Your responsibilities will include: 

  • Manage calendars, schedule meetings, coordinate logistics, and help keep Mountain Operations leadership organized. 
  • Prepare meeting agendas, capture notes, and track action items and follow-up. 
  • Maintain department files, records, reports, presentations, and internal communications. 
  • Process purchase requests and purchase orders while tracking approvals, invoices, and department expenditures. 
  • Coordinate with vendors, Accounts Payable, and department leaders to keep purchases moving efficiently. 
  • Assist with budget tracking, purchasing records, inventory, and asset documentation. 
  • Help coordinate department projects, operational initiatives, deadlines, and deliverables. 
  • Maintain organizational systems and tracking tools that keep Mountain Operations running smoothly. 
  • Support resort events and mountain programming, including timelines, vendors, permits, scheduling, staffing coordination, and event documentation. 
  • Collaborate with teams across the resort, including Marketing, Food & Beverage, Guest Services, Ski School, Rentals, and other operational departments. 
  • Provide on-site event support when needed.

What We Need 

  • High school diploma or equivalent. 
  • At least one year of administrative, office, project coordination, or related experience. 
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and Teams. 
  • Strong organizational skills and exceptional attention to detail. 
  • Excellent written and verbal communication skills. 
  • Ability to balance multiple priorities and deadlines in a fast-paced environment. 
  • Ability to appropriately handle confidential and sensitive information.
