EVENT MANAGER

Alyeska resort is a 300+ room resort nestled in the Mountains of Girdwood, Alaska located 45 minutes south of Anchorage. The Event Manager is responsible for the management and planning of meetings, incentives, conventions, wedding and social occasions from initial handover from the Sales team until departure, including the final settlement of account. You will work closely with external clients to prepare and deliver information in a timely and accurate manner through banquet event orders, resumes, rooming lists, email and communication meetings to ensure the highest level of event detail is implemented and distributed to the hotel operations team to execute.

Reporting to the Director of Events, this role will focus on event planning and management to ensure Alyeska Resort is the market leader in Alaska. This role directly drives revenue and increases market share across all segment of the Resort including but not limited to; Rooms, Food & Beverage, Mountain and Spa. Key Focuses

  • Co-coordination of venue, contractors and equipment hire.
  • Ensure event details are distributed to the hotel operations team in a timely manner.
  • Manage the planning of events including full event details, menu selection, creation of the internal banquet event order, resumes and billing charges.
  • Manage client expectations and deliver a seamless event to ensure client satisfaction.
  • Resolve customer complaints when necessary to maintain loyalty and guest satisfaction.
  • Oversee the dismantling and removal and efficient clearing of venue space.
  • On property liaison for day of queries and concerns.
  • Review all daily food and beverage and conference charges posted to ensure all charges are in line with event Ensure correct figures are reflected in opera.
  • Post event evaluation (including data entry and analysis and production of relevant reports as necessary.
  • Possess a thorough knowledge of Alyeska Resort, Mountain Operations, Alyeska Nordic Spa and all Resort offerings.
  • Monitor group billing accounts for accuracyand co-ordinate with the accounting team for delayed payments.
  • Actively focus on upselling to maximize revnue streams for the hotel.
  • Attend weekly Beo and Resume meetings with key internal stakeholders.
  • Conduct Pre/Post Conference Meetings with clients and internal teams as required.
  • Particpate in customer site inspections and assists wit the sales process as necessary.
  • Coordinate vouchers, tram tickets, lift tickets and additional items as required.
  • Deliver and exceed budgeted revenues for the Hotel.
  • Be well versed and knowledgeable of Hotel's fire and Evacuation procedures as as health and Safety requirements in the Workplace.
  • Strong proficiency with opera S&C and PMS.
  • Prepare Sales quote and contracts as necessary.
  • Other duties as assigned.

Experience/Passions/Education

  • Bachelor's degree from four year college or university; or related experience and/or training; or equivalent combination of education and experience.
  • Prior hotel sales, marketing and catering experience strongly preferred Must be PC proficient (Microsoft Office) and able to prepare reports as assigned
  • Excellent verbal and written communications skills are required.
  • Knowledge of Opera account managment software preferred.
  • Ability to effectively present information and respond to questions.
  • Ability to multi-task, produce accurate work against hard deadlines.
