Accounts Receivable Clerk

Compiles data, processes invoices and bills by performing the following duties.

Primary Responsibilities:

  • Process wholesale and group tour invoices.
  • Copy, mail and maintain invoice documents and files.
  • Read computer files or gather records such as purchase orders, sales tickets, and charge slips, to compile needed data.
  • Enter information into computer or compute amounts due.
  • Posts transactions to accounting records such as ledger, or computer files.
  • Monitor and maintain all accounts receivable accounts, including permanent and city ledger folios, review package folio edit and posting journal for room revenue discrepancies.
  • Investigate and respond to all correspondence and inquiries regarding charges to customer accounts. May attend weekly and special preconference meeting to coordinate with other departments (marketing, banquets, etc.) for special billing requirements.
  • Assist front office and other departments with special billing problems.
  • Post all accounts receivable and miscellaneous payments. 
  • Monitor trade-out accounts. Assist Opera and RTP (point of sale) users with posting and closing problems.
  • Assist all departments with set-up of A/R accounts for special events, banquets, conferences, tour groups, wholesale tour groups and individual hotel packages.
  • Evaluate and attempt to collect overdue accounts.
  • Performs other duties as assigned.

Role qualifications:  To perform this job successfully, an individual must be able to perform the items listed below at a satisfactory level . The requirements listed below are representative of the knowledge, skill and/or ability required.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  An individual must have a working knowledge of MS Office (Excel, Outlook and Word).  Individual must be able to work accurately with numbers and records.  Experience with hotel PMS systems preferred, especially Oracle/Opera & RTP.

Essential skills and experience:

  • One year certificate from college or technical school; or three to six months related accounting experience and/or training; or equivalent combination of education and experience.
  • Knowledge of accounting principles preferred.
  • Billing experience strongly preferred.
  • Write concise reports and business correspondence.
  • Effectively present information and respond to questions from other staff, managers, clients, and customers.
  • Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages and volume.
  • Ability to collect data then define problems, establish facts and draw valid conclusions for hotel management.

Employee may be required to pass a functional capacity test developed for this job.
  • Work Environment:  The noise level in the work environment is usually moderate.
